Question from Tun: "In the Document Checklist form, it mentions that "If you are unable to provide any of the requested documentation, include with your application, a written explanation with full details as to why that documentation is unavailable.........."
For example,
- Additional Dependants Declaration (IMM0008DEP) ,
- Use of a representative (IMM5476) ,
- Arrange Employment etc...
are not applicable to me. So do I need to write anything for these documents Or just leave it untick on the Checklist form?"
Thanks a lot for this valuable question Tun.
What to do with forms that are not applicable to the applicant?
This is quite simple but an important circumstance.
DO NOT to submit the form, unless there's a signature needed on it or a blank tick box that needed you to tick, together with your application.
In the Document Checklist (IMM 5612), there are tick boxes at the third column of each and every required documents. All you have to do is to Cross-out the box that is not applicable to you.
Example:
If you are single or have 5 or less dependents, you do not need to submit the form Additional Dependants/Declaration (IMM 0008DEP) together with your application and put a Cross-out (X) at the box provided. See the image below.
A Letter of Explanation if You Cannot Submit the Required Document
If you can not submit a required letter, it's either;
- you cannot produce such document
- it is only available at a later date
- It is only available upon request
You need to include with your application, a written explanation with full details as to why that documentation is unavailable.
For the first two reasons, you need to write a good reason for not having those documents. It is a cases to case basis, so I cannot explain it further.
For those documents that are only available upon request, like the Singapore Police Clearance, you need to wait for the letter of request from the Embassy of Canada.
For the meantime, you may include in your application a letter explaining the circumstances.
In my own experience, I sent a letter to the Canadian Embassy stating that I cannot produce the Singapore Police Clearance because I need to have the request from embassy.
Then I included in my explanation that I cannot produce yet my Philippine NBI clearance, for me and my spouse, since it is only valid for 1 year. (If you want an example of the letter, email me at benalagnam@yahoo.com).

Thank you very much for taking your valuable time to answer my query.
You're welcome Tun, you can ask me anytime.
Hi Ben,
In the document checklist, under point 8
proof of admission?
can you explain this for me as I am Indian working in singapore?
Hi Ben,
I have almost filled application and required documents are ready. I have almost all required documents
Can you tell me do I need to prepare a document to mention how many points i can get, that I am eligible for application?
do I need to prepare any documentation to say state about my degrees, funds, experience?
Is any part I need to document to avoid any confusion for officer?
thanks
Proof that you are legally allowed to stay in Singapore. (example: Entry Visit Visa, S-Pass, Work Permit, E-Pass, Dependent Pass). Provide a copy of this.
Just provide what the Checklist (IMM5612) required. Do not provide more that it ask for. Don't forget to validate the Generic Application Form to produce a page with bar codes. Place this bar-coded page on top of your full application.
Hello, I know you have already answered my question but still need a confirmation. Could you please help.
In my case, Additional Dependant declaration and Use of Rep forms are not valid. So, if i cross mark them in the checklist, that works?? Or still i have to attach the two forms in my file and write NOT APPPLICABLE on that. Please suggest.
Second question is about the supporting documents like Tax Returns, is that fine if i attach them at the last and write over them that what all these supporting documents are??
Please suggest.
Thanks.
If a certain form is not applicable to you, do not include it in your full application and put an X mark on the Checklist IMM5612.
It's better to put the attachment after the form that requires it. Don't give the VO a hard time to go through your application again. Make it smooth for them.
Thanks Ben, somewhere we can specify the visa office?if so, wch form?
I'll include my EP, do I need to include passport pages showing stamps too?
thanks
Hi Ben,
just to confirm, no need to submit tax forms as I dont have any Canadian experience, correct?
thanks
Hi Ben,
my address will be changed soon, so I want to give my office address as mailing address in the form as well as in self addressed mailing labels, can rite?
And if CIC sends any letter to us, they usually send by normal mail or courier?
thanks
You're correct Srikanth, that's only for applicants who have worked legally in Canada for at least 1 year.
Hi, you can use that as mailing address. They will send by email and normal mail.
At the Generic Form Application for Canada Item #4..Since I am working in Singapore, I stated mine as Singapore.
I suggest you read throught the Checklist, the instructions are stated there on how to provide passport pages.
Thanks much Ben..
I am preparing my documents today and few questions i have, I am trying to add a paper before each form which will be having form name mentioned on it, just to differentiate that we are done with the previous form and moving ahead to the other form. Is that fine ??
And i have seen few cases where they have added a paper mentioning the Eligiblity means calculating the points themselves for VO ease, do you think it's a Best Practice ??
In my opinion, you don't need to do that. VOs are professionals, they know what they are doing. Calculating for them is, for me, like an insult. It's their job to review our documents as what they are trained for.
Just make sure your documents are arranged according to the checklist and the supporting attachments are accessible.
Hello Ben
I went to Chase and BoFA in US for creating a MoneyOrder/Cashier cheque of $ 550 CAD but they told me they can't create a MO/CC in canadian currency. Can you please advise how you paid this amount from Spore. Last option i have is using my Credit card.
I used my credit card to pay for the FSW Canada 2013. My credit card used is from the bank in the Philippines.
The credit will automatically do the exchange for you, from your currency to CND.
Hi Ben,
I have barcodes on 2 pages along with signature on one page. you mean do I need to put these 2 papers on top of application?on top of checklist?
thanks
Yes, on top of all documents...That will be the first 2 pages that the VO will see.
Hey Ben,
It is great to have your support.
Should I consider the check list as the cover page? If so, I am really confused about placing the cover page (Check List) & the bar code pages. Should i put the cover page on the top of bar code page or the bar code pages should be placed on the top of cover page.
Hello Ben,
One more silly problem. In the PDF format of Background or declaration, we are not getting enough space to write the name of my school. Like the name of school is "Motijheel Govt. Boy's High School" but i am only able to write up to "Motijheel Govt. Boy's Hi". What can i do to solve this problem?
Sorry for bothering.
Hi Reasat, make a separate form, just like my background and personal history form (@Resources Page) then write the complete school name and details in there. You can attach it at the original form after.
You can follow this order...Cover Page > Bar Codes > Forms and Supporting Documents.
Hey Ben,
Thanks a lot brother. I am glad to have your suggestion :D :D.. It means to resolve the space problem i should attach a format explaining the details. But in that case should I keep the space blank in original form or should i type anything like, "Attached hence with" ?
Yes, indicate such as "Please see attached sheet"
Hi Ben, I have a very stupid question. Do you put the bar codes on top of all documents including the requirements e.g. IELTS, ECA, et. al. or just on forms provided by CIC? Thank you in advance! Your blogsite is very helpful for everyone hoping to migrate to CA.
